Position Overview

Senn Fortis LLC is seeking a highly organized, proactive Administrative Assistant & Office Coordinator to join our Denver office. This is a full-time, onsite position supporting attorneys, legal assistants, and staff across multiple practice areas while serving as the first point of contact for clients and visitors.

What You'll Do

No two days are exactly the same in this role. Responsibilities include:

  • Welcome clients, guests, and vendors while creating a professional, friendly, and welcoming first impression.
  • Answer and direct incoming telephone calls.
  • Perform conflict checks and open new client matters.
  • Assist attorneys and legal assistants with day-to-day administrative tasks.
  • Assist with the Firm's monthly billing process, including prebill coordination, gathering requested edits and information, and other billing-related administrative tasks.
  • Prepare, scan, copy, organize, and electronically file legal documents.
  • Maintain electronic and physical client files in accordance with Firm procedures.
  • Assist with document management, downloads, uploads, and organization.
  • Prepare closing binders, hearing notebooks, presentation materials, and other document packages.
  • Coordinate conference room scheduling, setup, and cleanup for client meetings, depositions, and internal events.
  • Process incoming and outgoing mail, overnight deliveries, courier packages, and certified mail.
  • Order and maintain office, kitchen, and conference room supplies.
  • Help maintain a clean, organized, and professional office environment.
  • Coordinate with building management and outside vendors as needed.
  • Provide overflow administrative support to the litigation and transactional/real estate practice groups during busy periods.
  • Assist with large copying, scanning, mailings, and special projects.
  • Support firm-wide initiatives and other administrative projects as assigned.

Qualifications

  • Prior administrative experience in a professional office environment required; law firm experience is strongly preferred.
  • Excellent organizational skills and exceptional attention to detail.
  • Strong written and verbal communication skills.
  • Ability to manage multiple competing priorities in a fast-paced environment.
  • Proficiency with Microsoft Office, including Outlook, Word, Excel, and Teams.
  • Ability to learn new software and technology quickly.
  • Positive attitude, professionalism, and a strong customer service mindset.

Pay: $55,000.00 - $70,000.00 per year
